Administrative Assistant – Intellectual Property Department 

For our client, a dynamic and multinational company in the building materials industry, located in the canton of Bern in Switzerland, we are looking for a motivated and cheerful:

Administrative Assistant – Intellectual Property Department

Your tasks in this position:

  • Management of the department’s yearly contracts, invoice data capture, payments and travel expenses
  • Coordination and active collaboration with all departments and headquarters and the various business units worldwide
  • Preparation and coordination for meetings
  • Administrative support in EU funded projects
  • Manage and update the Patent- and Trademarks prosecution dashboard
  • Administration of Various Internet / Intranet Communities and activities
  • Administrative Support for service contracts
  • Replacement for other assistants during absences or vacations
  • Generating and maintaining documents
  • Internal documentation management and diffusion
  • Support in the preparation of presentations

Required skills:

  • Successful candidates have absolved a commercial apprenticeship
  • Written and spoken English and German language skills are necessary, Spanish would be an advantage
  • Good knowledge of Microsoft Office (Word, Excel, PowerPoint, e-mail, etc)
  • Some experience in a similar Assistant/Secretary position and contracts management are required, experience in Intellectual Property would be an asset
  • We are looking for an organized and systematic person that is service oriented and likes to help others
  • The successful candidate is a flexible and self-motivated person with excellent communication skills
  • Team work oriented and multi-skilled
  • Patience and Flexibility are required for the role as well as discretion and confidentiality with business and personal matter
